How to use Team Availability

If you are on a team that uses availability, Venvy emails you before events to ask whether you are coming. Answering takes one tap, and you never have to sign in to do it.

The email lists the event and gives you three buttons:

  • I'll be there
  • I can't make it
  • Unsure

Tap one and you are done. There is no form to fill in and no reply to write — the answer is recorded against the event straight away.

Unsure is a real answer, not a way of putting it off. It tells your manager you have seen the question and cannot commit yet, which is more useful to them than silence.

You do not have to wait for the email. Open the event and you will find the same three buttons on it, with your current answer shown.

This is also where you change your mind. You can change your answer any time before the event — as often as you need to. The latest answer is the one that counts, and nobody is notified that you changed it.

If you have stopped the emails, this is still open to you. Turning the emails off never takes away your ability to answer.

That depends on how your team manager set it up:

  • Counts only — your team sees the totals and their own answer. Your manager sees who said what.
  • Full roster — everyone on the team sees every name, yours included.

On a full-roster team, the names are under Availability in the event's People section. The event's quick look shows the totals, with a Full roster link that takes you there.

If it matters to you which of these your team uses, ask your manager — it is their setting, described in Team Availability for Managers.

Open your account settings from your name in the top bar and find Availability emails. Details of the rest of that page are in Managing your account.

On by choice, off by default. One message at the start of your week covering everything your teams need an answer on, instead of a separate email per team.

If you are on several teams this is usually the setting you want. One team asking about one event does not really need a digest; four teams asking about eleven events between them does.

Stops the asking entirely. You stay on your teams, you keep seeing the events, and you can still answer on the event itself — Venvy just will not email to ask.

Some venues do not offer this. If the option is there but you cannot switch it on, that is why.

A few things have to line up, and any one of them explains silence:

  • The venue has availability switched on.
  • Your team manager has switched it on for your team.
  • The event is one of the types your manager chose to ask about.
  • The event is inside the window your manager set — ask three days ahead and you will hear nothing a month out.
  • You have not stopped availability emails in your account settings.

If all of those look right and it still seems wrong, your team manager is the person to ask — most of these are their settings rather than yours.
