Override requests

When you’d request an override

If the room you want is held by an event of equal or higher priority and you want that exact room — not one of the alternatives — you can ask an Admin to override the conflict. Press Request override on the reserve form.

Admins don’t need to ask: they see Override now instead, which books the event immediately and moves the held event(s), fully recorded.

While the request is pending

Your event is saved as pending. It occupies no room yet and blocks nothing — it simply waits for a decision. You’ll see it:

  • on your own calendar views, marked with a distinct pending style (only you and Admins can see it), and
  • under Override requests awaiting approval in the Pending Items panel on Home (see Getting around).

All Admins are emailed the moment you submit, and the request appears in their Approvals queue. You can withdraw a pending request at any time from the form, the Pending Items panel, or the event itself — the pending event is removed and nothing else changes.

Expiry

If your event’s start time passes before anyone decides, the request expires automatically. It can no longer be approved, the pending event is removed, and you’re emailed.

The decision

  • Approved — your event is confirmed in the requested room. Any equal-or-higher event still holding the slot is moved to another suitable room, and its manager is emailed. You’re emailed that it was approved. If the conflict has since cleared, your event simply confirms.
  • Rejected — your event is not booked and the pending event is removed. You’re emailed, including the Admin’s reason when one is given, and you can adjust the time or room and try again.

Every outcome is delivered by email and recorded in the audit log.
