Alternative rooms

When the list appears

When the room you asked for is held by an event of equal or higher priority, Venvy automatically shows Available rooms for this time — a ranked list of other rooms you could book instead, right on the reserve form. It appears alongside the option to request an override, so you can choose whichever suits you.

What counts as available

A room is offered when it fits your event’s headcount and either:

  • it’s free — nothing else overlaps your time, so booking it moves no one; or
  • it holds only lower-priority events — you can book it by having those events moved to other rooms. These entries are clearly flagged, for example “Moves Rehearsal → Studio C”, so you always know when a pick affects someone else. If a moved event would have nowhere to go, the list warns you before you choose.

How the list is ranked

Free rooms always come first — nothing moves. Within each group, rooms of the same type as the one you originally asked for lead, then the tightest capacity fit. The top five are shown; press Show more for the rest.

Picking a room

  • Book this room (a free room) — your event is confirmed immediately in that room. Nothing else changes.
  • Book & move (a room with lower-priority events) — Venvy first shows you a confirmation screen listing exactly which events would move and where. Nothing happens until you confirm.

If no other room is available, the list says so — you can change the time on the form, or fall back to requesting an override.
