Every event has a priority
Every event in Venvy carries the priority of its event type — a number from 1 to 100, shown next to the type when you reserve. Higher numbers matter more. Priority exists so the venue’s most important events always win rooms: a mainstage performance should never lose its space to a casual meeting.
What happens when bookings overlap
When you reserve a room, Venvy compares your event’s priority with every confirmed event that overlaps your time in that room:
- The room is free — your event is confirmed immediately. Back-to-back events don’t conflict: one can end exactly when the next begins.
- Every overlapping event has strictly lower priority — your event wins the room. The lower-priority events are moved to other rooms for you (you may see this called deflected), but only after you review and confirm exactly what will move where. See Relocations and the confirmation screen.
- Any overlapping event has equal or higher priority — you can’t simply take the room. A tie is never overridden silently. Instead, Venvy offers you two ways forward at the same time:
- pick one of the available alternative rooms for the same time, or
- request an override so an Admin can decide. Admins can apply the override immediately themselves.
You can also just change the time or other details on the form — that re-checks the room and may clear the conflict entirely.
Recurring events
A recurring series that hits an equal-or-higher-priority conflict on any date is refused as a whole — nothing is booked, and Venvy tells you which dates were blocked so you can adjust the rule or times.
If your event gets moved
Even if you never book rooms yourself, an event you manage or attend can be moved when a higher-priority booking takes its room. Its manager is always emailed, and the event keeps its time — only the room changes.
