Nothing moves without a preview
Whenever a booking would move other events out of a room — winning it over lower-priority events, choosing a Book & move alternative room, or an Admin approving an override request — Venvy shows a confirmation screen first. It lists every event that would be displaced, who manages it, and the room each one will move to. Nothing is booked or moved until you press Confirm & reserve; Cancel leaves everything exactly as it was.
Venvy proposes destinations automatically: a suitable free room, preferring the same room type and the tightest fit, always at the same time — only the room changes.
Warnings you may see
- Left without a room — a displaced event has no suitable room to move to. You can still proceed; the event keeps its time but loses its room, its manager is notified, and it appears in Pending Items until an Admin places it.
- Cascade — occasionally the best home for a displaced event is a room holding an even lower-priority event. The screen shows that chained move too — the second event always lands in a free room.
Admins choose the destination
Admins see a move to picker for each displaced event and can send it to any eligible room — one that fits and is free, or holds only lower-priority events (flagged with what that choice would move). Managers see the same preview read-only; Venvy picks the rooms. On the Approvals queue, the approving Admin gets the same per-event choice.
What you confirm is what happens — the whole plan applies together. If rooms change in between, nothing partial occurs; you’re shown a refreshed preview instead.
Afterwards
Each moved event’s manager is emailed — either “your event was moved”, naming the new room, or “your event needs a new room”. Events left without a room show under Events needing a room in the Pending Items panel on Home until an Admin gives them one by editing the event. Every move is recorded in the audit log.
